Because the USPS is consolidating its network, mail travels further before processing. Depositing a complex estate return or valuation document in a blue collection box on the deadline day often means it will not receive a postmark until the following day, triggering severe late-filing penalties.

Requesting a Manual Postmark

If you decline Certified Mail but require a verified current-date postmark, request a manual postmark (hand-cancel) at the post office.

  1. Visit the Counter: Present your envelope directly to a retail associate.

  2. Request the Stamp: Ask the clerk to “hand-cancel” the mail piece. This service is free of charge.

  3. Verify the Date: Watch the associate stamp the envelope, confirming it reflects your actual deposit date.

Strategic Best Practices for Deadlines

  • Avoid the Blue Box: Never rely on street-side boxes or office mailrooms on deadline days due to unpredictable pickup schedules.

  • Authorized Private Couriers: If bypassing the USPS, use “Designated Private Delivery Services.” Qualifying FedEx services include First Overnight, Priority Overnight, Standard Overnight, 2 Day, International Next Flight Out, International Priority, International First, and International Economy. Qualifying UPS methods include Next Day Air Early AM, Next Day Air, Next Day Air Saver, 2nd Day Air, 2nd Day Air A.M., Worldwide Express Plus, and Worldwide Express.
